The data controller SIA “STRAND” (hereinafter – Strand) is a private hospitality company that complies with the requirements of the General Data Protection Regulation 2016/679 (hereinafter – the Regulation) and other regulatory enactments in force in Latvia regarding the lawfulness and protection of personal data processing.

Why and in what cases do we process your personal data?

In order to provide our customers with service and comply with the legal obligation to collect certain data from customers staying at the hotel, we may collect the following visitor data in the following cases:

– booking of services on the website or in the hotel: name, surname, phone number, e-mail address, date of birth, passport or ID number, passport or ID validity period and issuing country; data processing will be based on the legitimate interests of the controller (Article 6, paragraph 1, point f of the Data Regulation), for example, to provide evidence of the provision of the service;
– service application via e-mail: name, surname, contacts. the processing of data will be based on the legitimate interests of the controller (Article 6(1)(f) of the Data Protection Regulation), for example, to ensure proof of the provision of the service;
– conclusion of a service contract: name, surname, personal identification number, address. the processing of data will be based on the legitimate interests of the controller (Article 6(1)(f) of the Data Protection Regulation), for example, to ensure proof of the provision of the service;
– conducting video surveillance in the Strand area for the detection and investigation of criminal offences, which is the legitimate interests of the controller (Article 6(1)(f) of the Data Protection Regulation)
– collecting CVs to fill a vacancy;
– sending commercial communications: name, surname, e-mail. The processing of data will be based on the following legal grounds: consent of the data subject (Article 6(1)(a) of the Data Protection Regulation).

We may obtain personal data from the visitor himself, as well as from the event or travel organizer.

In order to achieve the purpose of data processing, we collect and process personal data to a minimum extent. When submitting data to us on your own initiative, carefully evaluate the amount of data provided.

If you represent a legal entity that receives services from us.

Before concluding a contract for the services provided by Bīriņu Pilī, please inform your representatives about the fact of processing their personal data. The data of officials of legal entities and their representatives will be used to ensure the conclusion of a planned transaction with this legal entity, the execution of the transaction or communication.

If you provide us with information about your officials and other representatives, avoid providing information about private means of communication (private phone numbers, private e-mail addresses, residential addresses). Please note that it is not possible for us to distinguish information about private means of communication from company means of communication.

Who will receive your personal data.

Your personal data will be used only for the intended purposes of data processing. In order to achieve these goals, your data may be transferred to our employees who are involved in concluding the contract and fulfilling the obligations. Your data may also be received by Strand-related persons/companies who serve Bīriņu Pili, such as lawyers, sworn attorneys, IT specialists, postal service providers, as well as other persons involved in achieving the purpose of data processing.

In cases specified by law, your personal data may be transferred to state or municipal authorities or a court.

How long will your data be stored?

The duration of data storage depends on the purpose, objective and legal basis of data processing. Your personal data is stored for as long as its storage is necessary in accordance with the relevant purposes of personal data processing, as well as in accordance with the requirements of applicable legal acts.

– When making a reservation by e-mail, correspondence is stored for no longer than 2 (two) years;
– When registering at the hotel or on the website, the guest questionnaire is stored for 1 (one) year;
– when concluding a service contract, they are stored for 10 (ten) years after the end of the contract;
– Video surveillance recordings made on the Strand territory are deleted within 1 (one) month.

An extended storage period may be appropriate for the purposes of legal proceedings, the legitimate interests of Strand or third parties, or applicable laws and regulations (e.g. laws on accounting, anti-money laundering laws, statute of limitations, civil law, etc.).

Your rights.

We inform you that in accordance with the Regulation, you have the following rights

If the data processing is carried out with your consent, you can withdraw your consent at any time by sending a written request to our e-mail and we will contact you. The exception is if the data is submitted on the basis of a contract or law.
